    Fleet managers have always used rental to cover peaks and specialist jobs, but flexible “rent, flexi-hire and short-term hire” has become a more central tool for many UK operators when budgets are tight and demand is uncertain.     Why fleets use rental and flexi-hire now

    Rental is most useful when your van requirement changes faster than a traditional purchase or fixed-term lease can comfortably handle. Common triggers include:

    • Seasonal or project spikes (extra routes, temporary contracts, short-notice workload)
    • Bridging gaps while waiting for new vans or when vehicles are off the road
    • Specialist body needs (Lutons, flatbeds, refrigerated vans) where buying for one job would be inefficient
    • Trialling different van types (including electric) before committing long term

    BVRLA data shows the UK short-term rental fleet includes a substantial number of light commercial vehicles (LCVs), underlining how established rental is as an LCV supply route. [2]

    Where rental can cut total cost (and where it may not)

    Rental rates can look higher than the equivalent “per-day” cost of owning — but fleets sometimes still save overall by avoiding costs associated with under-used or mismatched vehicles.

    Rental may help if you’re trying to:

    • Avoid standing costs on idle vans (finance, depreciation, tax, servicing plans)
    • Reduce downtime impact with a replacement vehicle quickly
    • Move spend from capex to opex for short-lived demand

    Rental may be less cost-effective if:

    • Utilisation is stable and predictable year-round
    • Permanent racking, livery, or bespoke equipment is expensive to refit
    • Mileage limits or damage terms don’t match real-world use

    Compare options using the same basics: expected weekly mileage, likely hire duration, downtime costs, and who pays for servicing/tyres/damage.

    Telematics and connected data: what it’s useful for

    Many rental and flexi-hire vans now include connected-vehicle features. Used well, this data can help:

    • Identify harsh braking, speeding, or high-idle patterns
    • Pinpoint routes or driver habits that increase fuel use
    • Support incident investigation with objective event data
    • Target driver coaching and enforce fleet policy

    Insurance and responsibility checklist for hired vans

    1) Who provides the cover?

    Some hires include insurance; others require your own motor/fleet policy. Confirm:

    • Policyholder details
    • Who is allowed to drive (named drivers vs authorised employees)
    • Whether business use and intended activity are covered

    2) Understand damage waiver and excess terms

    Hired vehicles often have a damage waiver / collision damage waiver (CDW) with an excess. GOV.UK notes CDW “usually doesn’t cover everything” and may exclude tyres or glass. [4] Confirm what’s excluded, the excess, and how damage is assessed.

    3) Driver licence checks

    Rental doesn’t remove your duty to operate safely and legally. Maintain vehicle checks, driver competence controls, and understand operator licensing responsibilities if relevant.

    Getting better value from a rental supplier

    • Standardise a few “go-to” van types to avoid over-ordering
    • Agree clear damage/inspection processes (photos at pick-up/return, condition reports)
    • Track hires by job, depot, or contract to spot repeat needs
    • If using telematics, set goals (safety, idling reduction, fewer incidents) and review regularly [3]
